| 2008 New City Festival Sunday Sept.21st 12-6pm Sponsored by: The New City Chamber of Commerce, Inc. We are pleased to enclose our registration and information packet for the 2008 New City Festival. Last year’s event was an enormous success and we look to build on that success for this year. We will be expanding the number of vendor booths as well as the categories of businesses that will participate. Last year’s addition of live music & ridesfor the kids really made it a county wide event! Date: September 21, 2008 12pm-6pm rain or shine. Festival Location: Rockland County Court House, Main Street, New City We anticipate attendance of 35,000 for the Festival based on last year’s experience. The public pays no admission charge. We will feature live music and a variety of foods and day long fun for people of all ages. This is your opportunity to meet the community, showcase your product, and promote your business at an exciting one day open air event. New City Restaurants and visiting food vendors will provide tempting choice for snacking, lunching and picnicking, making it possible for families to spend the whole day at the New City Festival. There will also be games & local business selling products. The Chamber will promote The Festival by way of posters, handbills, radio announcements and newspaper advertising. Fees are as follows: Diamond Corp. Sponsor $1500.00-$2500.00 Corp.Sponsor Full Booth $600.00 Corp. Sponsor ½ Booth $500.00 Vendors-(non-chamber member) Full Booth$250.00 Vendors-(chamber member) Full Booth $200.00 Vendors 1/2 Booth $150.00 To reserve your space, please complete Vendor Application and Contract and return it to the Chamber by 8/21/08, with your payment. A $25.00 Late Fee will apply to applications received after deadline. All Vendors You must provide a copy of your NYS Sales Tax Certificate along with your completed application. If you do not have one, call New York State’s Dept of Taxation and Finance at 1-800-225-5829. Ask for form DTF no. 17 and keep in mind it can take a month or more to obtain your tax certificate. Food Vendors You must obtain a permit from Rockland County Department of Health. Phone them at (845) 364-2600, 364-2603 or 364-2606 for application and information. A copy of this permit must be filed with the Chamber of Commerce NO LATER THEN 10 DAYS BEFORE THE FESTIVAL. Note: Noisy generators won’t be tolerated i.e.: Honda silent type. At the discretion of the show promoter, noisy generators will be turned off. Evidence of Insurance All vendors must submit a Certificate of Insurance to the Chamber with their application which evidence Comprehensive General Liability with limits no less then $1,000,000 per occurrence /$2,000,000 aggregate, and statutory Workers’ Compensation Insurance. The Certificate must name the New City Chamber of Commerce, Inc as an Additional Insured. All Participants • Setup begins at 10:00am and must be completed by 11:00am All cars off show grounds by 11:00 a. m. No exceptions please. • Exhibitors provide their own displays. • Late arrival (after 10:00am) to show forfeit designated space. You will be placed at the discretion of show management. • The Chamber will provide each vendor a table, two chairs, and a canopy tent over their space . • Electricity is limited so let us know your needs. • Complete, enclose and return these Chamber of Commerce, 65 N.Main Street 2nd floor, New City NY 10956 • Vendor Application • Payment • Signed Vendor Contract • NY State Sales Tax Certificate • All Food Vendors must have a copy of Dept. Of Health permit PAYMENT METHODS • Prior to deadline you pay by check or Money Order • After deadline-add $25.00 late application fee. • A $25.00 bank fee will be applied to any NSF checks. Vendor Contract - New City Festival Complete both sides and return to the Chamber of Commerce (Application Deadline August 22, 2008) 1) The Vendor shall occupy only the space assigned by the Chamber of Commerce. 2) The Chamber of Commerce has the right to prohibit conduct, which it deems deleterious to the Festival and may remove any Vendor it feels causes undue disruption. 3) The Chamber’s sole obligation is to provide a designated space to the Vendor, which shall be determined solely by the Chamber. Early registrants will be given consideration for request location. 4) The Vendor’s inability to appear at the Festival for any reason will not result in any refund. 5) There is no rain date for the Festival. No refunds will be made due to inclement weather. 6) The Vendor is responsible for the delivery, handling, erection and removal of display booth and materials, along with any garbage generated. 7) By signing this agreement the Vendor also agrees that the Vendor shall indemnify, defend and hold the New City Chamber of Commerce, Inc. Its employees, agents, officers and directors; as well as The County of Rockland , The Town of Clarkstown, and any other municipal authority, harmless from and against all claims, liabilities, damages and expenses (including reasonable attorney fees) for any death, personal injury, or property damage, arising out of , cause by, or connected with the negligent acts or omissions of the Vendors, its agents or employees. 8) The Vendor is solely responsible for the payment of NYS Sales Tax and must have a current NYS Sales Tax Number and certificate. 9) It is the sole responsibility of the Food Vendor to obtain the proper permit form the Rockland Department of Health 10) Selling, sharing or dividing booth space is permitted for $150 per 1/2 booth. 11) Noisy generators will not be tolerated. At management discretion they will be turned off. 12) Late arrival to show, After 10:00am forfeits original booth assignment. You will be placed at the discretion of the show management. 13) The show ends at 6:00 pm, vendors must sop selling at that time. Clarkstown Police Dept. will strictly enforce. Vendors under no circumstance are to break down their booths before the 6:00 pm close. 14) Food vendors may not hook up to fire hydrants for water source, by order to the New City Fire District.
